As the Travel & Office Manager at EdgeUno, you will play a strategic role in ensuring the efficiency of both our travel operations and office infrastructure. This position combines operational rigor, policy enforcement, and project management to support EdgeUno’s mission of delivering high-performance infrastructure and connectivity solutions across Latin America and emerging markets. Your contributions will directly support our multicultural teams by maintaining an organized, compliant, and cost-efficient internal environment. Core Responsibilities: Travel Management: 1. Policy Development & Compliance: • Develop, implement, and continuously optimize the company’s travel policy to ensure cost-effectiveness, compliance, and traveler safety. • Maintain accountability for enforcing adherence to the travel policy across all employees and stakeholders. 2. Budget Accountability & Expense Oversight: • Take full ownership of preparing and managing the travel budget, ensuring all expenses align with organizational goals and reporting on adherence. • Regularly monitor, analyze, and control travel spend, preparing detailed and timely budget reports for management. • Proactively identify cost-saving opportunities and implement improvements to streamline travel-related expenses. 3. Vendor Negotiation & Relationships: • Negotiate and manage relationships with airlines, hotels, car rental agencies, and other travel vendors to secure favorable pricing, superior services, and long-term partnerships. 4. System Administration & Optimization (Concur): • Administer and maintain the Concur Travel & Expense system to ensure accurate configuration, proper user access, seamless workflow, timely system updates, and robust reporting. 5. Employee Training & Compliance Audits: • Provide employees with training on the company’s travel policies, Concur functionalities, and expense reporting procedures to promote compliance and minimize errors. 6. Corporate Travel Accounts & Benefits Optimization: • Manage corporate travel accounts (e.g., Amex, airline loyalty programs) to maximize discounts, rebates, and rewards while controlling associated costs. • Collaborate with management to strategically convert credit card rewards or points into tangible benefits for the company. Office Management: 1. Operational Oversight: • Oversee daily office operations, ensuring efficiency, seamless functionality, and a productive workplace. • Proactively implement and enforce office policies, procedures, and best practices to support organizational goals. 2. Facility Management & Maintenance: • Ensure all office facilities, equipment, IT, and supplies are well-maintained, functional, and available to employees as needed. • Coordinate and supervise timely maintenance, repairs, and upgrades to minimize operational disruptions and maintain safety. 3. Space & Lease Administration: • Manage lease agreements, ensuring timely renewals, amendments, and terminations. • Collaborate with property managers, landlords, or brokers to secure optimal terms, resolve issues, and ensure alignment with company needs. • Strategically plan and optimize office layouts and space utilization, ensuring workspace efficiency and scalability. 4. Health, Safety, and Compliance: • Establish, monitor, and enforce workplace health, safety, and environmental policies. • Ensure full legal and regulatory compliance across all office operations while fostering a safe and comfortable environment for all employees. 5. Budget Management: • Assume responsibility for preparing, monitoring, and controlling the office budget, identifying opportunities for process efficiencies and cost reductions. 6. Project Management & Office Planning: • Plan and oversee office improvement projects, relocations, or renovations, ensuring alignment with business needs and budget constraints. Requirements • Proven experience in both travel coordination and office/facility management, preferably in multinational or regional companies. • Hands-on experience with Concur Travel & Expense or similar travel management systems. • Strong negotiation, vendor management, and budgeting skills. • Ability to create and enforce policies, manage audits, and lead improvement projects. • Excellent communication skills in English (written and spoken). • Experience working across distributed, multicultural teams is a plus. • Strong organizational and multitasking capabilities.
