EXECUTEL Bogota, D.C., Capital District, Colombia Senior Administrative Assistant The Senior Administrative Assistant plays a key role in supporting executive and departmental operations by managing complex administrative tasks, optimizing workflow processes, and ensuring seamless communication within and outside the organization. This role requires high-level organizational skills, attention to detail, and the ability to handle confidential information with discretion. Additionally, the Senior Administrative Assistant is responsible for overseeing payroll processing to ensure accuracy and compliance with company policies and regulations. Key Responsibilities: Oversee document management, including contracts, reports, and administrative records, ensuring compliance with company policies. Manage high-volume correspondence, including phone calls, emails, and official communications, acting as a liaison between departments and external stakeholders. Prepare and analyze reports, presentations, and databases to support executive decision-making. Coordinate and schedule meetings, executive calendars, travel arrangements, and corporate events. Supervise administrative support functions, assisting junior staff and optimizing office processes for efficiency. Process and oversee payroll administration , ensuring accurate and timely payments, compliance with tax regulations, and proper record-keeping. Monitor financial and operational processes, including expense tracking, invoice processing, and budget support. Ensure office operations comply with internal procedures and regulatory requirements. Identify and implement process improvements to enhance administrative efficiency. Assist in HR-related tasks, including onboarding coordination and employee documentation. Qualifications & Experience: Bachelor's degree in Business Administration, Accounting, Secretarial Studies, or a related field. Minimum 5+ years of experience in administrative support roles, preferably in a corporate environment. Experience with payroll processing and knowledge of relevant labor laws and tax regulations. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and experience with administrative and payroll software. Strong leadership, multitasking, and problem-solving abilities. Excellent verbal and written communication skills. High level of discretion and ability to handle confidential information. Ability to work independently and support executives in a fast-paced environment.
