Overview As a Renewals Specialist, your mission is to successfully renew license subscriptions across Quorum's portfolio to maximize customer retention rates, reduce accounts receivable collection times, and promote product expansion through proactive outreach. You will be expected to maintain communications with our existing clients for an assigned number of renewals and you will facilitate the renewal process for them, aiming to meet or exceed Quorum’s annual renewal rate target. This process includes, but is not limited to, calculating renewal rates based on contracted escalation/discounts, building pricing quotes, negotiating multi-year renewals, updating customer contracts, and documenting updated invoicing instructions. You will also support our internal stakeholders such as the Contracts team, Customer Success, Accounting, Billing, and the Sales team. You should be able to identify clients/renewals that are at risk and work closely with the Account Manager, Customer Success Manager, and potentially other team members to prevent/reduce churn. Additionally, you should have the ability to identify cross-sell and up-sell opportunities. Responsibilities The Renewals Specialist is responsible for managing a specific set of customer renewals to ensure on-time retention and high renewal rates. This includes: Communicating with customers regarding renewal timing and pricing, guiding them through our annual renewal cycle. Obtaining customer agreement to renewal terms, including any necessary signed documentation/contracts/POs. Collaborating with the legal team to create amendments or any required documents for the customer. Negotiating prices, with guidance from management, to offer customers the best price-time scenario for renewal. Managing the accounts receivable process for renewals, including identifying invoice recipients, obtaining POs if necessary, and assisting our accounting group with collections, as required. Keeping information in CRM updated (Salesforce), including account information and renewal opportunities. Communicating with customers about software usage, capabilities, and identifying shortfalls including training needs, service projects, and other available solutions to help improve client value/retention. Monitoring usage of our software and any notable business changes (ex: M&A activity, going out of business, etc.) throughout the customer’s annual cycle to help identify renewals at risk of churn. This includes properly documenting churn risk/renewal status in Salesforce. Verify data integrity in all quotes and contract documents, reviewing terms and conditions to ensure renewal subscriptions are in line with company guidelines and policies. Work cross-functionally with departments (including sales, finance, accounting, legal, and management) to develop effective, high-impact renewal processes that drive renewal decisions. Requirements Post-secondary education in an administrative, engineering, or business-related discipline with 1-3 years’ experience or equivalent work experience preferably in the energy or software sectors. 1+ years consulting, software implementation, support, sales, renewals, or technical account management. Proficient in Microsoft Office Suite, specifically Outlook and Excel Extremely detail-oriented, with the ability to produce high-quality work under pressure in a deadline-oriented environment. Strong organizational skills. Ability to take initiative. Excellent prioritization and time-management skills. Strong critical thinking and problem-solving abilities. Excellent follow-up skills. Skilled in negotiation. Strong basic math skills. Comfortable working independently and as part of an international team. Experience operating in a high-volume, targeted outreach. Ability to communicate (verbal and written) effectively with clients and internal team members. Fluent in English, both written and verbal.
