As an Executive Assistant you will provide executive support to the Partner/Owner of the company. You must be creative and enjoy working in a fast-paced environment that is mission- and results-driven, and people-oriented. Your Success Factor: You should have outstanding organizational and time management skills and can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and the ability to maintain a realistic balance among multiple priorities. You should have the ability to work independently and cooperatively on projects and ad hoc tasks, from conception to completion, and must be able to handle confidential matters with discretion. Job Responsibilities: Administrative support to Partner/owner related to calendars maintenance, travel arrangements (accommodation, transport, flight, transfer, visa), expense reports/credit card transactions, etc. Organize and prioritize incoming correspondence, including emails, calls, and messages, and provide appropriate responses on behalf of the owner. Conduct research and prepare reports, memos, and other documents as required. Managing the executive's calendar, including making appointments and prioritizing the most important matters. Organize efficient and effective team meetings/events, including compiling the agenda, taking minutes/action points, following up on the status of action points, and meeting practicalities. Prepare/compile presentations, including alignment of layout and coordination of inputs. Liaise with internal and external stakeholders, ensuring efficient communication and collaboration. Handle sensitive and confidential information with discretion. Provide intuitive input and decision-making skills such that owner input is not needed. Performs other duties as assigned. Education Bachelor's Degree holder. Degree in Business Administration, Accounting, Public Relations, Human Resources, or related. Experience and Competencies At least 5 years of experience as executive assistant to Top Management, VP, or CEO position. Exceptional organizational and time management skills, with the ability to manage multiple tasks and priorities simultaneously. Strong written and verbal communication skills, with a high level of professionalism and discretion. Exceptional interpersonal skills and the ability to build relationships with executives, managers, and staff. Ability to work independently, remotely, and adapt to rapidly changing priorities. Proactive problem-solving skills, with keen attention to detail. Proficiency in IOS or iCloud applications (Keynotes, Numbers, Pages, etc.), MS Office, Google Suite (Gmail, Calendar, Drive, Sheets), and other presentation software (Canva). Experience with calendar management, travel arrangements, and meeting coordination. System thinker and processes-driven with a charismatic can-do attitude. Can converse well in English and knows how to speak Spanish a plus. Note: Strictly only those who attached English CV/resume will be considered.
