The Creative Operations Coordinator is the engine behind our production workflow -- owning timelines, building efficient systems, and ensuring high-quality delivery across multiple projects. You'll collaborate closely with editors, strategists, and the founder to make sure nothing slips through the cracks. Key Responsibilities:







Project & Workflow Management: Manage and update the production calendar across client and internal projects. Track deliverables using Airtable, ClickUp, or similar tools. Coordinate revision cycles, approvals, and publishing deadlines. Maintain accurate production records. System & Process Building:
Create and document SOPs and workflow checklists. Improve bottlenecks and quality control systems. Help onboard new team members. Maintain clear file organization and naming conventions. Team & Internal Communication:
Lead async and live team check-ins. Coordinate across editors, strategists, and creatives to ensure timely delivery. Provide weekly updates to the founder on team progress and metrics. Interface with clients occasionally on deliverables or scheduling needs. Metrics & Reporting:
Track production throughput and identify inefficiencies. Share insights to improve operational cadence. Publishing & Delivery:
Schedule content on YouTube, podcast platforms, and social channels. Ensure correct metadata, links, thumbnails, and platform compliance. Qualifications:
Experience in creative or content production environments. Proficiency in project management tools (e.g., Airtable, ClickUp, Notion, Trello). Clear, proactive communicator -- written and verbal. Strong organizational instincts and a systems mindset. Comfort with remote, async workflows and tools (e.g., Slack, Google Drive). Nice-to-Haves:
Familiarity with podcast or video production workflows. Understanding of file naming conventions and quality control. Basic knowledge of audio/video formats and publishing specs. Experience managing async or remote creative teams. Strong async writing skills for updates and check-ins. Resume Submission Guidelines:
