Are you the kind of person who thrives on keeping things running like a well-oiled machine? ️ We're looking for a Detail-Oriented Operations & Scheduling Coordinator to become the glue that holds our teams together—working closely with Production Managers, IT, Accounting, Sales, and Installation teams to ensure every moving part is on track. From scheduling and logistics to communication and coordination, you'll be the command center of our daily operations . Location: Remote (must be based in Colombia) Reporting to: Production Managers ️ Keep the office and warehouse operations running smoothly Schedule IT teams, installation crews & 3rd-party vendors — and make sure they’re in the right place at the right time! Ensure both warehouse and office areas stay clean and organized Coordinate inventory, quality control, and work orders Manage employee gear (like uniforms/shirts) and equipment requests Handle high volumes of email and phone communication like a pro Plan and book travel for installation teams — from flights to U-Hauls! Support the accounting team and keep communication flowing between departments Maintain daily, weekly, and monthly install calendars (including routine cleanings) Prep and schedule team meetings — in-house or Zoom ???? Green-light spreadsheets, welcome emails, and communicate with site owners Work closely with IT to ensure everything’s ready before installations go live Check in with third-party clients to confirm satisfaction and identify next steps Requirements- What you bring to the table: Meticulous attention to detail — nothing gets past you! A “go-getter” attitude with the ability to own your schedule and stay flexible (things change often!) Highly communicative — across emails, calls, and team check-ins Experience working with both internal teams and third-party vendors Ability to juggle fast-paced operations without missing a beat Strong knowledge of Google & Microsoft Office (especially Excel) Super organized and proactive with a natural drive to learn & grow Able to handle tricky conversations with grace — from IT updates to client feedback Computer savvy Based in Colombia and able to work U.S. hours (9:00 AM – 5:00 PM CST M-F) Day off on your birthday – celebrate YOU!
