Job TitleAssociate Building and Facilities Manager*** All CVs must be submitted in English to be considered ***Summary of the role:The Building and Facilities Manager is responsible for the efficient operation, maintenance, safety, and continuous improvement of all office buildings and facilities across the organization. This role ensures a high-quality workplace experience while aligning local operations with corporate Building & Facilities (B&F;) standards. The manager oversees vendors, physical security systems, health and safety compliance, and facility-related services, and acts as the primary liaison with landlords and building management. The role requires strong leadership, strategic thinking, and hands-on facilities management experience.In this role you'll:Facility Operations and MaintenanceEnsure all building systems (mechanical, electrical, plumbing, HVAC) are functioning effectively.Manage preventive and corrective maintenance programs.Lead energy efficiency and sustainability initiatives within the facilities.Conduct regular inspections of all buildings and equipment to ensure compliance with standards.Coordinate workspace reconfigurations and office moves.Vendor and Contractor ManagementSelect, onboard, and manage vendors for cleaning, maintenance, HVAC, security, and other facility services.Develop scopes of work, issue and manage Requests for Proposals (RFPs).Monitor vendor performance, conduct service reviews, and renegotiate contracts to optimize value.Audit vendor invoices to ensure compliance with agreements and budgets.Security and Access ControlOversee the badge ID system, ensuring secure issuance, tracking, and deactivation processes.Maintain and upgrade CCTV systems; monitor footage access and manage storage.Develop and implement facility access protocols and emergency procedures in collaboration with Corporate Security.Train staff on security systems and incident reporting procedures.Space and Workplace ManagementOversee the implementation, usage, and optimization of booking tools (e.g., meeting rooms, desks, parking). Avuity, outlooks and others.Ensure tools are user-friendly and meet evolving workplace needs.Monitor space utilization and propose improvements to enhance employee experience.Health, Safety, and ComplianceEnsure full compliance with local health, safety, fire, and environmental regulations.Develop and maintain health and safety policies and emergency response plans.Conduct regular safety audits, risk assessments, and employee training when applicable.Implement corrective actions to address potential hazards or non-compliance aligned with P&C; and Heath and Safety local regulations.Repairs and Cleaning ServicesManage all facility repair requests and work with the vendor; prioritize and follow up to ensure quality resolution.Coordinate with cleaning service providers to maintain a high standard of cleanliness and hygiene.Keep detailed records of repairs, inspections, and maintenance activities.Parking and Common ServicesFollow the parking slots policies including security, badges, and allocation.Address issues and improve the parking experience for staff and visitors.Manage contracts with parking service providers where applicable.Manages other services such as, vending machines, coffee machines, water dispensers, office supplies and cafeteria supplies.Lease and Rental ManagementSupportGroup Real Estate with lease agreements and renewals, ensuring timely payments and favorable terms.Maintain strong relationships with landlords and resolve any lease-related issues.Coordinate with Legal or Group Real Estate as needed.Liaison and GovernanceServe as the primary point of contact with building management and external landlords.Ensure compliance with building policies, corporate standards, and landlord agreements.Represent the company in building committee meetings.Strategic Projects and Market BenchmarkingLead local implementation of corporate workplace initiatives and guidelines.Benchmark market best practices in workplace experience, cost optimization, and facilities innovation.Provide insights and recommendations to Corporate B&F; on local market trends, supplier opportunities, and emerging risks.Support sustainability goals through green initiatives and certifications when applicable.About the Ideal Candidate:Bachelor's degree in Engineering, Business Administration, or a related field.Minimum of 5 years of experience managing office facilities or building operations.Strong knowledge of building systems, maintenance planning, and vendor management.Solid understanding of local health and safety laws and security protocols in LATAM.Proven leadership, organizational, and communication skills.Ability to manage multiple projects and work cross-functionally.Fluent in Spanish, English and Portuguese (preferable).Working at Amadeus, you will find:?
