Role Summary: We are seeking a proactive and detail-oriented Director of Operations to serve as the operational backbone of our high-performing real estate team. In this pivotal role, you will be responsible for developing and managing all systems and processes that support our agents, ensure smooth and efficient transactions, and sustain our rapid expansion. Your mission will be to free up agents to focus solely on selling and servicing clients, while you take full ownership of the backend engine that powers the team. Responsibilities: Build, implement, and manage systems specifically tailored to real estate operations, including transaction coordination, listing management, CRM usage (preferably KW Command and/or Brivity), client follow-up, and agent support. Maintain and document key workflows across real estate functions such as lead generation, buyer and seller pipelines, open house tracking, listing-to-close timelines, and compliance. Oversee the entire financial operation of the team: bookkeeping, agent commission tracking, payroll, budgeting, and monthly performance reporting. Ensure all real estate contracts, disclosures, and documents are accurately processed, compliant, and closed efficiently, meeting both internal deadlines and legal requirements. Create and maintain a detailed operations manual with step-by-step processes for transaction management, agent onboarding, marketing activities, and administrative tasks. Coordinate the use and maintenance of office equipment, real estate tech tools, MLS systems, and manage vendor relationships (e.g., signage companies, transaction coordinators, photographers). Recruit, train, and supervise administrative staff, virtual assistants, and future team members as the real estate team continues to grow and expand into new markets. Requirements: Bachelor’s degree preferred; high school diploma required. 3–5 years of administrative or operational experience, with at least 2 years in a real estate brokerage, team, or transaction coordination role. 1–3 years of leadership or team management experience, preferably in a real estate setting. Strong skills in system development, documentation, and process optimization. Experience in bookkeeping and financial systems (A/R and A/P). Excellent organizational, problem-solving, and communication abilities. Real estate license is a plus but not required.
