They manufacture, source, and deliver high-quality doors and related services to builders and homeowners. Our client is currently looking for a highly responsive, detail-oriented Operations Coordinator to join their back-office team and help streamline tasks, improve response times, and enhance overall service delivery. Responsibilities: Act as a central point of contact for incoming job requests or customer needs when owners are unavailable. Participate in online industry training provided by outside vendors. Dispatch technicians based on customer needs and schedule availability. Build and send estimates using our internal CRM and vendor-specific systems. Accept and process third-party work orders, ensuring they are entered into the CRM and material purchase orders are created. Monitor inbound tasks and requests—execute them promptly and efficiently (first-in, first-out model). Perform daily system checks in the morning and afternoon to ensure no requests are missed. Collaborate with team members to identify process improvements or new tasks that can be delegated. Reconcile job costs, including but not limited to labor and materials. Prepare weekly labor bills for field technicians. Maintain excellent communication and responsiveness throughout the workday. Requirements: Strong organizational and time-management skills. Exceptional responsiveness – must act quickly and avoid backlog. Experience working with CRMs (HubSpot, Salesforce, or similar tools preferred, but not mandatory). Tech-savvy and able to quickly learn internal and vendor-specific systems. Good written and verbal communication in English. Availability to work full-time CST hours (8 AM – 5 PM CST; flexibility to discuss extended availability if preferred). Preferred Qualifications (Nice to Have): Previous experience in a construction, manufacturing, or home services company. Background in operations, engineering, or project coordination. Familiarity with reading construction blueprints or job plans. Experience working remotely with distributed teams. Additional Information Contract Type: Full-time contractor. Compensation Range: $1,500 – $2,000/month. The final salary offer may vary based on the candidate’s experience, specific skills, and performance during the evaluation and interview process.
