Accounting Support Reconcile bankand credit cardtransactionsin Xero and QuickBooks Uploadreceipts andinvoices to Hubdoc Monitorand follow upon overdue accountsreceivable Trackand process accountspayable, ensuringtimely invoicepayments Communicate with vendorsor clients regardingpayment updates Email Support Reviewand triage emailsdaily in Gmailfor the CEO andgeneral studioinbox Respondto booking, invoice, and basic inquiryemails on behalfof the CEO Prepareand send invoiceproposals asdirected Identifyand unsubscribefrom unwantedemail lists Deleteor archive spamand cold salesemails Flagimportant emailsthat requireCEO response Sales Support Followup weekly onopen quotes andproposals UseShopify to revieworder activityand identifyleads or trends Build andupdate listsof potentialclients basedon CEO criteria Use Calendly to book meetingsfor the CEO withprospects andcurrent clients Coordinateand schedulefinal consultationsfor wedding clientsand follow upon proposalssent Trackclient communicationhistory and nextsteps in a sharedCRM or projecttool Project Support Executebasic administrativetasks using GoogleDocs or Sheets Build projecttimelines andtask lists inproject managementsoftware Followup weekly withproject managersor collaboratorsfor updates Tracktask completionand escalateissues to theCEO when deadlinesare at risk Maintainproject documentationin Google Drive Administrative Support Check andupdate the weeklysupply list Placeonline ordersfor office orstudio suppliesas needed Organize shared digitalfiles and foldersin Google Drive Supportoccasional designtasks in Canva(e.g., eventinvites, clientdocuments) Maintainand update internalrecords, checklists, and SOPs Providegeneral supportacross departmentsas directed bythe CEO
Requirements
Proven experience in administrative, accounting, or project coordination roles Exceptional organizational and time management skills Strong written communication skills with attention to tone and detail High level of discretion and professionalism when handling sensitive business and financial information Ability to work independently, prioritize tasks, and meet deadlines Proficiency in using a variety of different cloud based softwares for accounting, e-commerce, email management, scheduling, creation of marketing assets. Bonus if any or all of the following applies for these specific softwares: Experience with Xero reconciliation and managing accounts payable/receivable Familiarity with Shopify order management and backend operations Confidence using Calendly for scheduling complex meeting types Basic design skills in Canva following brand guidelines Schedule: Monday to Friday 8:30am-12:30pm (GMT -8-00) Pacific Time (US & Canada)
