As an important ally of the Value & Innovation (V&I;) Medical Affairs organization in Latin America (LATAM), The Innovation & Digital Transformation (InDT) regional team in LATAM is a crucial role to lead the organization in an evolving and competitive digital era. The InDT team spearheads the integration of innovation and digital technologies across all aspects of V&I; LATAM and addresses digital challenges and opportunities identified in the region to define and implement creative-tailored solutions focused on enabling an innovative-thinking & digital mind-set environment that empower stakeholders, enhance results, engagement & improved experiences in the organization. Overall Responsibilities: This InDT Specialist role provides operational support to the regional leader and projects, administrative tasks, logistic support including meetings management and interaction with other internal stakeholders & and 3rd parties for business purposes (Medical Affairs, GMVC, Procurement, IT, Legal, Compliance, etc…). This role also supports the coordination of regional digital internal channels to improve engagement with our stakeholders. The InDT Specialist will report directly to the InDT regional Leader in LATAM, as part of the V&I; Global Medical Value Capabilities (GMVC) LATAM Hub. Primary Activities - The job duties include but are not limited to: - Administrative: Assistance, operational and administrative support for the V&I; GMVC LATAM Innovation & Digital Transformation Leader and projects owned/supported. Maintain archive of physical and/or electronic documents for audit purposes. Support and follow expenses accounts, etc. - Logistics: Plan, schedule and coordinate meetings, agendas, speakers, interviews and other similar activities. Including but not limited to: book meeting-room when required, Plan and implement special events´ logistical coordination (fluid communication with the event agency, identify suitable venues, coordinates dinners schedules and send calendar invites to participants across time zone, coordinate logistics accommodations and transportation as needed) always in compliance with Event SOP and compliance guidelines. - Operational Support service: to support strategic projects and activities, including but not limited to ensure day-to-day functioning of core InDT operations, support as an internal process & organization operations expert, To collect data from systems and provide insights to improve, Ensure effective workflows, Assist in resource allocation and performance optimization, Contribute to effective network management. Some expected activities to implement: Follow up deadlines, To contact stakeholders and vendors, Support solutions in internal platforms*, Share information in internal channels as required, To create, collect and report metrics form surveys and other related tools & digital channels*, To contact IT-procurement-finance and other systems related stakeholders to solve issues, To propose communication-engagement solutions when required, Keep meeting records and minutes, spotting and sharing highlights with stakeholders, Act as a point of contact to give administrative support and interaction with internal stakeholders (IT, Compliance, Procurement, GEMS, other exexutive assistants, etc…), Identification of the Procurement staff and processes that support the set-up and follow up of 3er parties & suppliers purchase orders, Tracking and compliance of payment process, invoice reception, purchase orders and charge backs from specific projects, if applicable. *including but not limiting Sharepoint, MS TEAMS, MS Viva Engage, MS Outlook, MS STREAM, MS SWAY, etc. * Metrics: Keep metrics collection & alignment with projects objectives and KPIs. - Engagement & communications plans support: Support coordination of the regional newsletter and other sources of engagement-communication, that includes: internal interviews (in English), SWAY platform management (or other platforms), definition and implementation of planned communication campaigns, coordination of communication related sources. To upload information in specific platforms when required and follow up communication plans in Outlook, Stream, Forms, White Board, Teams, Yammer, etc… - Understanding & master the role´s activities, and ensure compliance. Required: - Previous experience as Operations Coordinator or Specialist with Administrative activities and expanded responsibilities to support business areas. - Preferred previous experience in Pharma organizations - Appropriate level of education and experience (tertiary and above – graduated or in course) - Knowledge & Experience in the Microsoft suit (Outlook, Excell, PPT, Word, etc.), and curios-proactive about technology and digital solutions. - Advanced level in English language (write & speak) - Teamwork, flexibility, openness, service oriented, as well as honesty, proactive, good interpersonal relationships and good communication skills.
