The Role We are seeking a highly organized and adaptable Operations Administrator to support our client, an innovative U.S.-based startup using drone technology to provide data analytics for construction and land development teams. This role is task-oriented with the long-term goal of developing individuals into Project Managers. The Operations Administrator will play a critical role in ensuring project viability, coordinating with contractors, managing invoicing, and supporting overall operations. The ideal candidate thrives in fast-paced, dynamic environments and can balance attention to detail with efficiency while managing a high volume of notifications and tasks. What you will do: Project Viability & Coordination Conduct project viability checks and review contracts. Schedule and coordinate scans. Manage communication and coordination with ~300 contractors. Administrative & Operational Support Oversee contractor onboarding and maintain data quality controls. Draft contracts, reconcile invoicing, and provide general administrative support. Manage and respond to a high volume of notifications (up to 1,000/day). Process & Team Support Support scheduling and invoicing reconciliation. Assist with documentation and operational workflow improvements. Collaborate across teams to ensure operational efficiency. Who you are: Ideal candidates may come from backgrounds where they gained experience with high notification volumes, contract management, and client interaction. The role requires someone who can adapt to ambiguity and rapid changes inherent to a startup environment. Qualifications and Attributes Proven prior job experience in a fast-paced environment. Excellent organizational skills and ability to manage multiple priorities. Strong written and verbal communication skills. A minimum of 2 years of client-facing experience in any industry. Adaptability to constant change and evolving processes. Proven team player with high attention to detail and efficiency.
