Role Overview This role is perfect for someone who enjoys being the friendly, reliable first point of contact for a professional team. As a Receptionist and Data Entry Coordinator, you'll help clients feel supported and valued while keeping the office running smoothly behind the scenes. From managing emails and calls to organizing digital files and assisting with client intake, your work will directly support the firm’s mission and client experience. If you’re proactive, detail-oriented, and love helping others, you’ll thrive in this role. Schedule Monday to Friday 9:00 AM to 5:00 PM, EST (USA) Your Responsibilities Will Include but Are Not Limited To: Answering incoming calls promptly and professionally, ensuring no call rings more than three times Relaying messages, confirming and rescheduling appointments as needed Receiving, prioritizing, and managing the firm’s email inbox Creating and maintaining an organized email folder structure in line with firm policies Ensuring all outgoing emails reflect the firm’s brand and values Filing and organizing digital documents in client files and sub-files Opening and closing client matters in the case management system Entering data from prospective client calls into the CRM Processing credit card payments over the phone Supporting team members with administrative tasks such as data entry and digital filing Providing backup support to the Client Intake Manager when needed What We’re Looking For: At least one to two years of experience in a receptionist role Strong proficiency in written and spoken English Familiarity with business phone systems and office software Experience with Microsoft Office and Adobe applications Friendly and professional phone presence A reliable, responsible, and proactive individual A team-oriented with a helpful attitude individual Commitment to client satisfaction and internal collaboration Your own PC or laptop, a headset, and a reliable high-speed internet connection (minimum 10 Mbps download / 5 Mbps upload) A quiet, private workspace suitable for remote work What’s In It for You?
