Job Title: Document Information Coordinator We are seeking a skilled Document Information Coordinator to join our team. As a key member of our global workforce, you will be responsible for assisting with all aspects of project documentation. This is a fixed-term position up to 3 years and is located in Girardot, Colombia. Main Responsibilities: - Create document profiles according to the SMDLs and return the Project document numbers (DocID) to the Contractors. - Upload all document deliverables received via transmittal. - Check and edit documents for accuracy and compliance. - Send documentation on workflow according to the Project distribution matrix and control the flow of documents in and out of the department. - Follow up to ensure all workflow processes are completed. - Generate outgoing transmittals and return documents with Acceptance codes and comments to the Contractor/Supplier. - Control the receipt and log all Site Daily Diaries in the system. - Process all emails received in the project email box following the Project Mailbox and Email Use Guideline. - Control correspondence according to the Quick Guide – Correspondence Register. - Ensure templates and Project users are updated and available. - Manage the External Sharing Site. - Provide training to new project staff at site in the Document Management System for both locations. - Report document status to the Project Document Controller and Project Technical Manager. - Support other Document Control needs as requested by the Project Document Controller. Requirements: - University Degree (or relevant experience). - Strong English language skills – spoken and written. - 5+ years of Document Control experience, preferably on EPC/Construction Projects. - Basic understanding of Engineering, Procurement, Construction, and Commissioning documents. - Excellent knowledge of MS Office Suite. - Familiarity with EDMS. - Good working knowledge of SharePoint. - Knowledge of ISO9001. Additional Requirements: - Valid work permit for Colombia. - Type of contract: fixed term up to 3 years.
