About the Role We are seeking a highly organized, proactive, and self-sufficient Virtual Assistant to support the CEO of a dynamic, women-led integrative law firm. This is not a traditional admin role, the VA will act as a support, owning the CEO’s time, information flow, and task execution. You’ll be the connector between the CEO and her 12-woman team, ensuring alignment and seamless operations across legal, compliance, and advisory departments. Key Responsibilities Calendar Management: Own and optimize the CEO’s schedule, meetings, deadlines, and events. Inbox Management: Triage, prioritize, and draft responses. Maintain an empty inbox, not just a busy one. Meeting Coordination: Join meetings, take high-quality notes, track action items, update CRM. Team Liaison: Serve as the primary point of contact between the CEO and internal teams. Problem Solving: Anticipate issues and solve them independently, escalating only when necessary. Information Flow: Manage decks, organize documents, and ensure the CEO has what she needs when she needs it. Shadowing: Learn how the CEO thinks, communicates, and operates in order to proactively support her evolving needs. Occasional Travel Planning: Not required but valued. Must-Haves C1 Level English: Spoken and written; you’ll be writing emails, joining calls, and managing documents in English daily. Bachelor’s degree in Business Administration or a related field. Minimum of 2 years of experience in executive support and business operations. Proven ability to manage calendars, travel, meetings, and day-to-day priorities for senior leadership. Strong organizational and multitasking skills with a keen attention to detail. Comfortable managing confidential information with discretion and professionalism. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools like Google Workspace. Experience using project management platforms (e.g., Asana, Trello, Monday.com) to track tasks and ensure follow-through.
