Role Purpose This role provides essential administrative, logistical, and document management support to the Operations Manager and academic team involved in a long-term, large-scale project within the British Council's English Programmes Unit. You'll play a key role in ensuring smooth day-to-day operations throughout the project's implementation, monitoring, and delivery phases. From coordinating logistics and supporting planning, to managing documentation and helping track progress, your work will directly contribute to the successful execution of a high-impact initiative. The post holder will work closely with colleagues and stakeholders to ensure that all activities align with both the project's delivery goals and the relevant British Council and stakeholder policies. This is a valuable opportunity for someone who enjoys working in structured, collaborative environments and is looking to gain hands-on experience supporting major educational programmes with meaningful outcomes. Main accountabilities but not limited to the following Supports to academic and operational team on the delivery and monitoring of the project in line with the corporate policies and stakeholders' requirements. Organises project meetings, keeping detailed records through minutes and attendance lists. Carries out the distribution of bulk messaging via WhatsApp, SMS, and email, teachers, and program participants as needed, in accordance with the various strategies established in the project. Conducts follow-up calls to monitor attendance for both teachers and students across the project's various strategies. Provides support for teachers and students registration through various project strategies. Supports school visits across Barranquilla as needed, in alignment with the project's strategies and objectives. Supports the maintenance and management of databases for complaint responses and monitoring participant non-attendance. Ensures high-quality standards for English test logistics and organisation of virtual and face to face events related to the obligations of the agreement. Communicates and follows up with the logistics operator for the organization of events, which includes activities such as printing materials, banners, QR codes for attendance lists, refreshments, sound, and necessary equipment. Manages project documentation by maintaining organized digital and physical records. Supports internal compliance activities, including due diligence, records management, and the collection and storage of data. Ensures the proper registration of consent forms in accordance with British Council policies on image usage, information management, and safeguarding. Keeps a file of attendance, registration, participation, and customer satisfaction surveys. Assists in the collection and review of evidence of deliverables from various contractors responsible for implementing specific strategies of the project. Supports data management including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data, and developing progress reports to meet needs of funders ensuring compliance with all data protection policies. Prepares, oversees, and fills out the necessary forms for the collection of audience target data for the project. Assists in consolidating and ensuring the quality of deliverables for presentation to the partner, in alignment with the assigned component. Manages relationships with clients/partners/stakeholders at the appropriate level. Manages relationships with vendors and suppliers and holds them to account for delivering services. Requirements of the role Two (2) years of proven experience in the coordination of large-scale projects, ideally in educational or social sectors. At least (1) year of experience in the administration of contracts and suppliers. At least one (1) year of experience in organizing logistical events and using platforms for tracking participants attendance. Understanding of procurement processes for obtaining goods and services. Written and verbal proficiency in English at A2/B1 level is required. University degree in economy, administration, accounting, engineering, international relations, or related areas.
