Operations Support Specialist "> About the Role: "> We are seeking a highly skilled and detail-oriented Operations Support Specialist to join our team. "> Main Responsibilities: "> - Act as the gatekeeper and operational extension of our CEO, prioritizing tasks, responding to emails, and scheduling meetings with clarity and context. - Build efficient systems using tools like Notion, Airtable, Google Workspace, and AI integrations to eliminate waste and optimize workflows. - Liaise with subcontractors, vendors, and clients via email, help onboard new hires, prepare proposals, and ensure documents and certifications are tracked. - Provide light finance administration support, sending invoices, tracking expenses, and monitoring irregularities. - Assist with marketing and content operations, coordinating social media scheduling, following up on campaigns, and managing light marketing workflows as needed. "> Requirements: "> - 3+ years of experience as a Virtual Assistant, Executive Assistant, or Operations Admin. - Excellent written and verbal communication skills. - Advanced proficiency in Google Workspace, calendar, and task systems, file management. - Confident use of AI tools to improve efficiency. - Highly self-directed, with calm under pressure and obsessive attention to detail. - Able to work within CST/EST hours (some overlap required). - Bonus: Experience in construction, project-based teams, or HR coordination.
