Job Description Under the overall guidance of the Resident Representative (RR) / Deputy Resident Representative (DRR), and Operations Manager (OM), direct supervision of the Head of Procurement Unit/Procurement Analyst, and in close coordination with UNDP Project teams, the Procurement Associate provides procurement services ensuring high quality and accuracy of work. The Procurement Associate promotes a client, quality, and results-oriented approach in the Unit. The Procurement Associate works in close collaboration with operations, programme, and project staff in the CO and UNDP HQs to exchange information and ensure consistent service delivery. Duties and Responsibilities Ensure full compliance of procurement activities with UN/UNDP rules, regulations, policies, and strategies; implement effective internal control. Implement UNDP procurement business processes, including mapping of projects and elaboration of internal SOPs in Procurement and Logistics. Assist in developing and updating procurement plans, monitor their implementation, and manage supply chain activities. Organize procurement processes, including RFQs, ITBs, or RFPs, and evaluate bids in full compliance with UNDP rules. Prepare purchase orders and contracts, including recurring purchase orders and vendor creation in ERP systems. Prepare submissions for procurement committees and ensure internal control systems are followed. Report on procurement activities and support joint procurement processes for UN agencies when required. Develop and update supplier rosters, and evaluate supplier performance. Control UNDP assets and inventories, including monitoring and verification of Global Fund assets. Assist in organizing logistical services and monitor shipments throughout the supply chain. Cross-Functional & Technical Competencies include: Business management, Business development, Business direction and strategy, Procurement skills including data analysis, data management, sourcing, and procurement. Education and Experience Secondary education required; a university degree in relevant fields is an advantage but not mandatory. Minimum 6 years' experience with secondary education or 3 years with a bachelor’s degree in procurement or administration. Experience with automated procurement systems, web-based management systems, and in international or governmental organizations is preferred. Professional Certificates CIPS Level 2 is highly desirable. Candidates holding this or higher at application will have an advantage.
