In this role, you will be responsible for processing and maintaining accurate payroll records, ensuring timely and accurate payroll distribution, and assisting with payroll-related inquiries. The ideal candidate will have experience in payroll processing, strong organizational skills, and the ability to handle confidential information with the utmost discretion. You will be part of a collaborative team working to maintain compliance with federal, state, and local regulations while providing exceptional service to employees. Responsibilities - Payroll Processing: Process bi-weekly/monthly payroll for all employees, ensuring all earnings, deductions, and taxes are accurately calculated and applied. - Data Entry & Maintenance: Maintain employee payroll records, including updates for new hires, terminations, changes in compensation, and benefit elections. - Payroll Reports: Generate and review payroll reports for accuracy before processing, including hours worked, overtime, commissions, bonuses, and other payroll-related data. - Tax Withholding & Deductions: Ensure correct tax withholdings, including federal, state, and local taxes, as well as benefits and retirement contributions. - Payroll Compliance: Ensure compliance with company policies and applicable federal, state, and local payroll regulations. Stay updated on changes to laws and regulations affecting payroll. - Employee Inquiries: Respond to employee inquiries regarding payroll, including questions about pay discrepancies, benefits, deductions, and tax withholdings. - Payroll Discrepancy Resolution: Investigate and resolve payroll discrepancies in a timely and professional manner. - Payroll Reporting: Assist with the preparation and distribution of year-end tax forms (e.g., W-2s, T4s) and other reports as required. - Record Keeping: Maintain accurate and confidential payroll records, ensuring proper filing and documentation for auditing purposes. - Collaboration: Work closely with HR and Finance teams to ensure accurate payroll data and timely reporting. Payroll Audits: Assist with payroll audits, providing necessary documentation and resolving any discrepancies that arise. Qualifications and Job Requirements - Education: High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting, Finance, or related field is a plus. - Experience: 2+ years of payroll processing experience, preferably in a mid-sized to large organization. - Technical Skills: Experience with payroll software (e.g., ADP, Paychex, Ultimate Software) and advanced proficiency in MS Excel. - Knowledge of Payroll Regulations: Familiarity with federal, state, and local payroll regulations, including tax withholdings and deductions. - Attention to Detail: Strong attention to detail and high level of accuracy in handling payroll information. - Communication Skills: Excellent written and verbal communication skills with the ability to explain payroll information clearly. - Confidentiality: Ability to handle sensitive and confidential information with professionalism and discretion. - Problem-Solving: Strong problem-solving skills and the ability to investigate and resolve payroll-related issues.
