Role Overview We are seeking an organized, proactive, and bilingual professional with a talent for managing complex schedules and streamlining high-level support functions. The Executive Assistant will provide essential assistance to dynamic leaders, ensuring their daily operations are managed efficiently and with the utmost professionalism. Schedule 8:00 AM to 5:00 PM EST (USA) Your Responsibilities Will Include but Are Not Limited To: Managing complex calendars for two executives, including prioritization and conflict resolution Coordinating internal and external meetings, preparing agendas, and following up on action items Monitoring and managing email inboxes; drafting, proofreading, organizing responses, and escalating urgent messages Managing Leads using Pipedrive CRM, including data entry, scheduling VTH/90MM, and following outlined processes in Trainual Arranging travel and logistics for executives Using Asana for task management to ensure deadlines and commitments are met Handling client communications, scheduling sessions, and sending pre/post-session emails Facilitating weekly “Same Page” (L10) meetings with supported Implementers Data entry and reporting within CRM systems Utilizing Google Workspace, Asana, EOSWW CRM, and Pipedrive for daily operations What We’re Looking For: At least one to two years of experience in an executive assistant or administrative assistant role. Strong proficiency in written and spoken English. Proficiency in written and spoken Spanish Proficiency in calendar management tools Experience with time tracking software Highly proactive, self-directed, and problem-solving in nature Exceptional grammar and professional email communication skills Warm, tactful, and focused in interactions Clear thinker with sound judgment and emotional control Skilled at supporting multiple executives with varying communication styles Attention to detail, reliable follow-through, and strong time management skills Discreet, trustworthy, and dependable Flexible and steady under pressure, able to adapt to changing priorities Your own PC or laptop, a headset, and a reliable high-speed internet connection (minimum 10 Mbps download / 5 Mbps upload) A quiet, private workspace suitable for remote work What's in It for You?
