At Astellas Colombia, we are looking for an Events Associate (senior analyst level) who will play a key role in delivering impactful corporate and scientific events, working closely with Marketing, Market Access, Commercial, Sales, and Medical Affairs teams. Responsibilities and Accountabilities Supporting business commercial events to maximize investments on the strategic priorities. Works with the appropriate teams to plan and execute business commercial events (such as Congress, Stand Alone, Webinars, Speaker tour, Advisory Boards) and internal corporate meetings (such as Sales Cycle Meetings, Sales Convention) aligned with Policies as well as Operating Guidelines. Tracks contractual requirements, negotiating new contracts where required, ensuring vendors comply with company guidelines and best practices. Manages the internal process. Responsibilities including: MSAs (Master Services Agreements), contract review and submission, work orders, invoices and all final documentation required. Proactively works with each team member to ensure that all vendors are identified in advance and P2P process can be successfully submitted, tracked and monitored for payment. Assures all the compliance rules and procedures. Responsible for creating, printed and coordinate digital materials deliverables, and partner with internal colleagues responsible for the event. Ensures that events are proofed/approved. Also includes responsibility for researching new industry technologies and trends, and provides communication and recommendations to the team. Responsible for analyze and brings new ideas and new approaches to improve the actual process. Foster strong relationships with key customers, both internal and external. Serves as liaison and event resource for initiatives. Communicates proactively to all levels of management and stakeholders. Works to manage other assignments associated with the major Marketing and Sales Meetings. Execute client satisfaction surveys, post meeting surveys, etc. Required Qualifications At least 1 year work experience in an event planning environment Demonstrated understanding of the role of events as a key channel within the omnichannel customer journey, ensuring a consistent, high-quality customer experience across all touchpoints. Excellent organizational skills, effective project management skills and commitment to meeting deadlines and work well under pressure. Good negotiation skills and the ability to maintain expenses and budgets. Must be able to interact in a professional and collaborative manner with internal departments, field-based personnel, and Astellas vendors. Self-motivated, strong decision making skills, detail oriented, takes the initiative and has the ability to work independently without close supervision and with all levels of management. Key characteristics include customer service focused, handles stressful situations, possesses a positive outlook, flexible and approachable. Understands and applies Astellas values, maintains and demonstrates high ethical standards of conducting Astellas business. Flexible travel schedule to participate in the events Fluent/advanced oral and written English skills. Excellent written and oral communication skills. Preferred Qualifications Experience in marketing or communications, preferably in the healthcare or pharmaceutical industry. Familiarity with the Legal/Medical/Regulatory review process and local rules and regulations. Innovative thinker with a finger on the pulse of the omnichannel transformation initiatives. Communication and presentation skills including the ability to influence and manage senior leaders and other key stakeholders. Working Environment This position is based in Colombia and will require on-site work.
