Over the past five years, we’ve experienced significant growth and now support a remote team of 25+ professionals. We leverage a variety of platforms and tools (ClickUp, Resource Guru, Tick, Slack, Zoom, Google Drive, Zapier, HubSpot, and more), and we’re seeking an Operations Manager with a strong focus on process improvement to assess, refine, and streamline our systems and workflows. Role Overview We are hiring an Operations & Process Improvement Manager to lead the evaluation and optimization of our tools, processes, and team workflows. You’ll bring deep knowledge of project management, systems integration, and operational best practices—especially within PR, marketing, or creative environments. You’ll work cross-functionally to ensure tools are adopted effectively, processes are streamlined, and that our systems align with business goals. Over time, this role may evolve to take on broader operational responsibilities. Key ResponsibilitiesProcess Improvement & Systems Optimization - Lead process audits, mapping, and cross-departmental improvements - Drive organization-wide process adoption and user engagement - Optimize workflows involving time tracking, resource management, editorial calendars, and account prioritization - Integrate and maintain tools such as ClickUp, HubSpot, Google Drive, Slack, and Zapier Integration & Automation - Evaluate third-party tools and recommend best-fit platforms - Lead integrations across systems to ensure seamless data flow and minimize manual tasks - Prioritize process needs over tool preferences ClickUp Optimization - Audit current ClickUp setup; recommend structural improvements - Optimize spaces, views, dashboards, automations, and reporting features - Troubleshoot user issues and boost team-wide adoption Collaboration & Project Structuring - Partner with operations, account, and project managers to design efficient workflows - Communicate updates and changes across the organization - Manage the rollout of new processes and features with minimal disruption Technical Expertise - Guide advanced workflow customization and API integrations - Collaborate with developers for custom solutions as needed - Provide ongoing support, training, and documentation Training & Documentation - Create and maintain detailed SOPs and platform guides - Lead internal training sessions on systems and workflow updates General Operational Support - Assist with initiative prioritization based on strategic business needs - Provide hands-on operational support across the organization as needed QualificationsMust-Haves - Proven experience in process mapping, systems evaluation, and redesign - Background in auditing, operations, or organizational efficiency - Advanced knowledge of ClickUp (customization, automations, integrations) - Experience with APIs and third-party system integrations - Strong troubleshooting and analytical skills - Project management experience, preferably in marketing, PR, or creative settings - Proactive mindset, comfortable leading change in dynamic environments Soft Skills - Strong written and verbal communication skills - Exceptional organization and attention to detail - Collaborative team player with a high level of accountability - Confident managing multiple initiatives and stakeholders in a distributed team Nice-to-Haves - Familiarity with coding/development tools (e.g., JavaScript, Python) - Experience working with scalable creative teams or agencies Why Work With Us - Play a key role in building scalable, efficient systems from the ground up - Work remotely with a flexible schedule and collaborative culture - Join a fast-growing, impact-driven team focused on operational excellence and creative success #somewherejobs Job Type: Full-time
