Job Title: Intake Specialist Location: Remote Reports To: Intake Department Manager, HR/Office Manager, and Management Working Hours: Your schedule may fall between 8:00 AM – 8:00 PM (Monday to Friday) and/or 10:00 AM – 7:00 PM (weekends), depending on business needs. Job Purpose The Intake Specialist serves as the crucial first point of contact for prospective clients. This integral role within the Intake Department focuses on delivering exceptional service, gathering essential case details to determine suitability for retention, and supporting finance duties to drive new business. The ideal candidate possesses exceptional bilingual communication skills (Spanish/English, spoken, read, and written), demonstrates strong flexibility with availability between 8:00 am and 8:00 pm Monday through Friday, and/or 10:00 am and 7:00 pm on weekends, and brings prior sales or customer service experience. Duties and Responsibilities - Placing, answering, screening, and forwarding all calls, and assisting with callbacks related to potential clients - Assessing whether leads meet the firm’s criteria for accepting cases - Gathering background case information and patching calls - Persistently monitoring all potential leads and following up with pending leads - Preparing contracts/retainer agreements, running initial payments, and submitting/processing Docu Sign - Opening and handling new case files, reviewing/confirming information - Contacting prosecutors, court clerks, and probation departments for case information - Assisting with the case intake process, ensuring accuracy and completeness - Communicating and establishing rapport with staff, attorneys, and clients - Scheduling, reviewing, and processing payments through Law Pay, Clio, Phone, Venmo, Zelle, Cash App, etc. - Following up with clients regarding payments and applying them accurately - Contacting past due clients to bring them current - Setting up and monitoring Autopay for clients on payment plans - Issuing credit notes/refunds as needed and updating Clio - Completing required IRS forms - Ensuring timely completion of tasks and accurate documentation - Accurately taking and maintaining notes for all clients - Complying with firm policies, procedures, and all applicable laws - Other duties as assigned - High school diploma or higher - Exceptional written skills and note-taking ability - Strong verbal communication skills to gather case details via phone - High-level listening skills to understand client needs thoroughly - Typing speed of 40–50 WPM - Bilingual in English and Spanish (reading, speaking, writing) - Tech-savvy and computer literate - Able to take direction and execute tasks independently - Professional demeanor - 1–2 years of sales experience (required) - Detail-oriented and highly organized - Strong numerical accuracy - Excellent problem-solving skills - Ability to manage workload efficiently and update databases consistently #J-18808-Ljbffr
