Job Description This is a remote position. Schedule: 25 hours per week (5 hours per day, Monday through Friday during client business hours) Client Timezone: Eastern Time (Atlanta, Georgia)

Responsibilities 1.- Client Communications & Appointment Management Confirm, reschedule, or cancel appointments via email/text Send reminders 24–48 hours before scheduled appointments Manage the booking platform (WIX); ensure no double bookings Block off unavailable time and troubleshoot booking issues Send intake forms and post-service follow-ups Respond to client messages (email, WIX, social DMs) Send payment links and confirm outstanding balances Track client packages/sessions and follow up regularly 2.- Outreach & Collaborations Research and reach out to clinics, surgeons, and influencers Introduce the brand and propose partnerships or collaborations Schedule intro calls and manage follow-ups 3.- Admin & Operations Support Monitor and respond to business emails Track basic expenses and organize receipts Respond to Google reviews — thank positives, address concerns 4.- Client Recognition & Marketing Support Maintain a client birthday list Send personalized birthday greetings or promos via email/SMS
Requirements Experience in client communication and admin support Strong written and spoken English Familiarity with tools like Gmail, WIX, QuickBooks, or Notion Excellent organization, time management, and follow-through Tech-savvy and proactive problem-solver Bonus: experience in wellness, aesthetics, or service-based industries
