Join the Indiewalls Team as a Sales Admin & Support Coordinator At Indiewalls, we connect independent artists with innovative commercial spaces, curating art collections that transform boutique hotels, luxury residences, and global brands. We’re looking for a proactive and highly organized Sales Admin & Support Coordinator to join our fully remote team and help fuel our business growth, optimize internal operations, and support high-level client engagements. Role Summary As Sales Admin & Support, you will work full-time (40 hours/week) in close collaboration with our 4 Territory Sales Managers to help grow our business pipeline, plan and execute events nationwide, and streamline our project workflows in the Indiewalls system. This role requires a proactive, highly organized professional who thrives in a fast-paced, creative environment and can confidently own and evolve administrative processes that support sales success. Key Responsibilities - Provide day-to-day support to the Sales Managers and help drive forward client relationships - Coordinate and schedule client meetings, internal syncs, and follow-ups - Research prospective clients, track lead generation efforts, and support initial outreach - Join client calls, take detailed notes, and manage action item follow-through - Send curated gifts or materials as needed to support relationship-building - Accurately enter, track, and update client and project data in our CRM system and project database - Monitor project status across key accounts, flag bottlenecks, and ensure timely updates - Support proposal creation, scope updates, and entry of project specs into relevant platforms including visual collateral support, database entry, and moving projects through assignment process with minimal supervision - Generate and maintain sales reports, pipeline health updates, and revenue tracking - Track, organize, and manage multiple internal and client-facing deadlines, effectively communicate needs from sales team members to meet deadlines and plan project timelines accordingly to hit those deadlines. - Coordinate travel, event logistics, and sales roadshows for team members - Manage event RSVPs, catering, samples, and branded materials - Assist in planning trade shows, networking events, and client-hosted experiences - Develop and refine internal templates for proposals, outreach, and reporting - Help identify gaps in the sales process and suggest improvements - Mentor or support onboarding of future admin/support team members as needed Requirements Qualifications - Fluent in English (spoken and written) - Strong proficiency with Google Workspace (Gmail, Calendar, Sheets, Slides, etc.) - Familiarity with CRM systems (e.g., Hub Spot, Salesforce) - Exceptional attention to detail and organizational skills - Comfortable interacting with senior-level stakeholders and external clients - Able to work independently, prioritize effectively, and manage up - Flexible availability Monday–Friday (daily hours finalized during interview) Preferred but not required - Experience in events, travel coordination, and/or executive support - Background in commercial real estate, interior design, or art consulting - Familiarity with architectural plans, design specs, and US geography - Comfort using design platforms like Canva, InDesign, or Figma Soft Skills - Solutions-oriented with a growth mindset - Excellent communicator and team player - Comfortable switching between fast-turnaround requests and long-term projects - Curious, detail-loving, and interested in the intersection of art and business Benefits - Competitive compensation based on experience - Fully remote position - Flexible PTO policy - Annual stipend to gift artwork to someone you love If you’re a systems thinker who loves organizing, supporting sales, and making art-world magic happen behind the scenes, we’d love to hear from you!
