20 hours/week: Monday to Friday, 4 hours per day within client business hours (9am to 5pm) Client timezone: PST (US)

Job Overview:
We’re seeking a detail-oriented and proactive Client Operations & Lending Support Assistant to support the client and the broader team with client file management, lender submissions, communications, and internal coordination. This is a remote, part-time role (20 hours/week) ideal for someone who thrives on organization, clear communication, and keeping systems running smoothly. The right candidate will play a critical role in ensuring no detail falls through the cracks—from managing client documentation to supporting lender interactions and reporting.
Key Responsibilities: Client File Management Organize and label client documents within shared folders Create and maintain individual client checklists (documents received/missing) Update internal databases with client info, lender preferences, and deadlines Ensure confidentiality and secure handling of sensitive client information Client Communication & Follow-Up Send follow-up emails for missing documents on the client's behalf (e.g., weekly or Mon/Thurs) Respond to client emails using templates; escalate complex questions to the client Track outstanding items per client and send a weekly “open items” report Assist in scheduling client calls across multiple calendars (method TBD) Lender Submission Support Prepare lender-ready folders (clean formatting, naming, and organizing) Maintain internal tracker of lender submissions and document flow Monitor submission confirmations and receipt acknowledgments Review loan packages to ensure completeness before final submission Preliminary Research & Light Analysis Gather basic lender information (terms, requirements, eligibility) Track changes in lending criteria (interest rate shifts, loan caps, etc.) Research and log new funding programs (regional banks, credit unions, alt lenders) CRM & Project Management Support Update CRM/client tracker with deal stages (lead → submitted → funded) Log call notes, next steps, and important deal information after the client's meetings Reporting & Internal Documentation Generate weekly pipeline reports (active deals, status, blockers) Draft internal summaries for team updates: wins, bottlenecks, overall status Help document SOPs for handling various loan/lender situations Internal Coordination Attend internal calls to take notes and assign action items Communicate next steps and responsibilities across departments Ensure smooth handoffs and follow-ups between the client, sales, and delivery teams
Requirements Previous experience in administrative, operations, or financial services support Strong organizational skills and attention to detail Proficiency with shared drives, CRM tools, and email/calendar systems (Google Workspace preferred) Strong written communication and follow-up skills Ability to track multiple open tasks and follow through independently Discretion and professionalism when handling sensitive information Self-starter comfortable in a remote work environment
